IMarEST Representation Submission of Papers

IMarEST members wishing to represent the IMarEST at any IMO committees and sub committees or contribute to IMarEST paper submissions should contact Dr Bev Mackenzie, Technical Manager.

Access to full IMO documentation is restricted with documents contained within a secure website. Those members contributing significantly to the work of the IMO can apply for full access to IMO documents by contacting Dr Bev Mackenzie.

In addition access to specific individual documents of interest can be obtained by contacting James Mcrae, Knowledge and Information Manager.

Submission of Papers

IMarEST members wishing to write and submit papers to the IMO on behalf of the IMarEST should contact Dr Bev Mackenzie for further information.

• All IMO papers must be approved by the IMarEST Technical Affairs Committee before submission

• All IMO papers must be submitted in the correct form to the IMO by the IMarEST secretariat. Unless receiving special permission from the secretariat individual members should not submit papers directly to the IMO.

• IMarEST members preparing papers should send them to the secretariat at least 2 weeks prior to the deadlines provided by the IMO.

Papers should be prepared in accordance with the rules of the IMO. These can be summarised as follows.

(a) documents containing proposals for new work programme items must be submitted by the IMarEST secretariat to the IMO by 13-weeks prior to the meeting in question

(b) documents (including information documents) containing more than 6 pages of text (bulky documents) by 13-weeks prior to the meeting in question

(c) non-bulky documents (6 pages or less) commenting on those referred to in subparagraphs (a) and (b) above, or on items already on the agenda, need to be submitted 9-weeks prior to the meeting in question. Bulky information documents, submitted in electronic format, may be accepted if they are received not later than 9 weeks before the meeting; and 

(d) documents (4 pages or less) commenting on those referred to in subparagraphs (a) and (b) above by 7-week deadline. These documents should start with a paragraph clearly indicating the document on which comments are made and stating that the document is submitted in accordance with the provisions of paragraph 4.10.5 of the Committees‘ Guidelines 

As a general rule, documents, other than information documents, as specified in subparagraphs 1.1(a) and (b) above, should not contain more than 50 pages. In the case of reports from working, drafting or correspondence groups and in other exceptional circumstances, this number of pages may be exceeded, provided that the appropriate deadline for receipt of the document by the Secretariat, is put back by one week for every 20 pages exceeding 50 pages; 

Documents should be submitted in single spacing, be as concise as possible

All documents should include a brief summary prepared in the form, and containing the information as indicated in the box set out in paragraph 4.1.1 of the Committees‘ Guidelines (available on request).

Documents, especially proposals for new work programme items should demonstrate, where feasible, the linkages to the Strategic and High-level Action Plans by including, in the summary, references to the related strategic direction(s), high-level action(s) and planned output(s);

Substantive documents should conclude with a summary of the action which the Committee is invited to take.

Information documents should conclude with a summary of the information contained therein.

Official reports of the meetings are now freely available for download from the IMO website (register at webaccounts.imo.org). IMarEST reports are also provided for those meetings attended by IMarEST Members and posted on this website. These reports, written by the IMarEST Members attending the meetings, give an overview of the work from an IMarEST perspective.
